okay i'm a new m.a. and start monday, most of my work is to be done in the front office i have no experiance except one day at my internship, i just would like to know some advice from m.a.'s that are proficient in front office oh yeah i'll be doing referrals answering phones scheduling
A:I'm not an MA, but I did do some doctor office work. You've got to pick the phone up fairly quickly IF they don't have it ring to another person or go to message for when you're swamped. However, I think it's better to take care of the people STANDING THERE first, so I'd ask people to hold and get to them as quickly as possible. Remember a lot of people just got bad news, are expecting bad news, feel ill, find the places they have to go for testing a pain, find the cost irritating, whatever and they may want to take it out on YOU. It's really not personal and you have to remember that or you can get messed up quickly every single day because at least one person is going to have an attitude problem in all likelihood. Best thing is to acknowledge their gripe and move on. "I'm sorry you had to wait to see the doctor. He wants to see you next month, will morning or afternoon be better for you?" or "I agree that the labs are not always conveniently located. We should get the results in two days." In other words, they want to be heard, but you've got to move along. Phones can be a nightmare. Sometimes it's so hectic it's best to keep a scratch pad and make notes to yourself 1-doc A's nurse 2-referrals in other words what the person is on hold for. It can be frustrating to the caller if he keeps getting picked up on but NOT by the right person. Referrals tend to take a LOT of time. Sometimes you can let them sit for about an hour and find that you have two or three for the same place or insurance and when you finally get off hold and have a real person, tell them, "I have three patients I need referrals for" and that saves the repeated on hold LOST time. I don't mean let those build up all day or even longer, but you have to look for little efficiencies and frankly the time lag of a up to about 4 hours is basically irrelevant because the odds your patient will call the doc immediately to make his appointment is close to zero--most folks will get a message (on their answering machine) and may have to wait until the next day to call that doc anyway. (You get the insurance OK, they call the doc with the info to schedule the time they can show up.) Take your breaks and your lunch. Do NOT discuss patients, doctors, etc. Just do NOT fall into that trap--someone will overhear something and even if you are AT the office, it's just unprofessional. If you have a terrible day you can tell your best friend: The doctor yelled at me in front of patients! Or The phone never stopped ringing all day! But do NOT get into details about "Oh God, that dreadful Mrs. Smith came in today. She is so demanding, whiney, ..." You don't need to bring the obnoxious home with you OR relive the frustration. You're off the clock. When people are jerky you can't do anything anyway. On the way home or to work you MAY think of some efficiency/improvement. THAT is worth some effort (solutions, not bitching, are worth time and energy). You could even have a productive lunch with a co-worker: Is there some good way to handle referrals? (Someone may know some cool tips locally). That's NOT a confidentiality issue and as you're focusing on a positive, it doesn't sour your mood. Good luck. BREATHE.

A:This is not the place to look. We don't even know which country you are in! Start by going to other medical offices and ask to speak with the office manager or hiring authority. Have a sharp resume outlining your accomplishments (not your duties). For benefits you may want to apply at a hospital or other major medical facility. The local doc won't have much in the way of benefits. Good Luck

100% Q: What kind of job can I get with a certificate in medical front office or should I get an associate ?
I am currently a college student at williston state college( and I will be graduating with a ceritificate in adminstative asssitant/health information managment (front office option)through distance learning. The certificate doesn't have an internship requirement so I am thinking of other positions besides admit clerk where I can use my knowledge of the medical office. Being that there is no intership requirement should I take one any way or just try to apply at the hospital or pursue an associates degree in medical front office? I am not profient in microsoft excel but can type very well and have a background in home health(CNA type work).What should i do?
A:You maybe able to start at a hospital registering patients and still take a few night classes or work at a small clinic while you go for you Associa degree.
